Protect a Shared Spreadsheet from Stray Edits
Added 2026-11-05
Reminders do not work; structure and locking do.
Several people fill this sheet together: [structure, fields, users]. Design a guard against wrong edits: 1) split it into must-type, formula-computed, and read-only reference areas; 2) give concrete controls — sheet protection, locked cells, data validation, dropdowns — and note which work in online collaborative tools; 3) flag the fields most likely to be overwritten and how to make a bad entry show up immediately (conditional formatting, validation prompts); 4) design an edit log area so people can see who changed what; 5) draft the one-page note a first-time filler needs; 6) name the side effects of protection and the ways people will route around it. Do not just say "ask everyone to be careful".

How to use
The point is to make the wrong entry impossible, not to write "please do not edit".
Try tweaking it
- Ask for three columns: conclusion, owner, deadline — ready to paste into a table.
- Let it organise only your notes; do not add decisions that were never made.
What you should get
- Task list with owner, deadline and blocker
- Escalations that need a decision, listed separately
Common mistakes
- Feeding raw notes and letting it fill in decisions that were never made.
- Getting owners without deadlines, so no task can be created.
How to check the output
- Every item has an owner and a date — ready to become a task.
- It does not record decisions that were never made.
Where it works
- Good for: turning verbal discussion into owner, deadline and blocker.
- Watch out: let it organise only the notes you supply — never let it infer decisions that were not made.
