How to Decline an Unnecessary Meeting
Added 2026-10-30
Offer an alternative and what you need instead, so the decline reads as saving everyone time.
I have been invited to a meeting I probably do not need. I will give the topic, my role, what I could contribute (maybe nothing), and possible alternatives. Write a reply under 100 words: 1) confirm the agenda and goal; 2) explain why I am not attending, focused on information rather than willingness; 3) offer an alternative (written input beforehand, notes afterwards, joining only the first ten minutes); 4) if I must attend, what I want the meeting to produce. Avoid vague "schedule conflict".

How to use
拒绝要说清楚「不需要我在场」,而不是「我没空」。
Try tweaking it
- Ask for three columns: conclusion, owner, deadline — ready to paste into a table.
- Let it organise only your notes; do not add decisions that were never made.
What you should get
- Task list with owner, deadline and blocker
- Escalations that need a decision, listed separately
Common mistakes
- Feeding raw notes and letting it fill in decisions that were never made.
- Getting owners without deadlines, so no task can be created.
How to check the output
- Every item has an owner and a date — ready to become a task.
- It does not record decisions that were never made.
Where it works
- Good for: turning verbal discussion into owner, deadline and blocker.
- Watch out: let it organise only the notes you supply — never let it infer decisions that were not made.
