Offboarding Handover Checklist

List what someone else can actually take over

Build an offboarding handover checklist from my role and current work. Four sections: 1) live work — status, next step, deadline, and counterpart; 2) things only I know — accounts, metric definitions, past decisions, external contacts; 3) documents and access — Notion pages, where they live, how they transfer, who approves; 4) support boundary after handover — last working day and how long I will answer questions. For every item, name the receiver and how they will prove they can take it over. Do not write “handed over”, which cannot be verified.

[Last working day]
How to use

The test is whether the receiver can do it once without you, not whether you explained it. Accounts and external relationships are the usual gaps.

Good for

  • You have two weeks left after resigning, three projects in flight, and a pile of reporting definitions and supplier contacts that live only in your head.
  • The team is covering for a colleague going on long leave and needs to know what nobody else can pick up before they go.

Not for

  • Non-compete, confidentiality, or an active investigation is involved — legal and HR must scope the handover; do not run the standard checklist over everything.
  • It is an internal transfer and the person stays — focus on access changes and knowledge coverage, not a full offboarding cut.

Example

Input
Role: growth operations, last day November 15. Current work: Double 11 retrospective due November 20; supplier A contract renewal expiring in December; the weekly ad report only I can run; three external channel contacts.
What you get
For live work, write: “Double 11 retrospective — data is in, conclusions unwritten, Xiao Li takes over by November 20, and the test is that he can present it unaided.” List what only you know separately — the ad report's data definitions, supplier A's renewal limits, and the three channel contacts — each with a receiver and a transfer method. On access, spell out who approves the handover of the reporting admin, ad accounts, and contract system, and close with “available for questions for one week after November 15, then no longer responding”.

Common mistakes

  • Listing only the work and not the accounts or external relationships — people discover after you leave that nobody can get into the ad account, the supplier chat, or the admin panel.
  • Writing “handed over to Xiao Li” with no way to verify — when something breaks, nobody can tell whether it was not handed over or not picked up.

Try tweaking it like this

  • Split it into three versions by receiver, each holding only what that person takes on, so nobody abandons one long list.
  • Add “questions I will answer for 30 days after handover”, turning “ask me anytime” into a bounded commitment.
